TobyBot vs Zapier and Make: fixed steps or a goal

Zapier and Make run workflows you design step by step, and now offer AI agents too. TobyBot is an agentic bot that starts from a goal and plans each run.

What Zapier and Make do well

They connect a very large number of apps with very little setup. Zapier says it offers integrations for more than 9,000 apps. Make builds the same kind of automation as scenarios, with a large app library documented in its help centre. If your CRM, spreadsheet, billing tool and help desk all need to pass data to each other, one of these tools probably already has the connectors.

Both use a visual builder. You choose a trigger, add actions, map fields and test the run. There is no infrastructure to set up, and many business users build their first automation on day one. That is a real strength.

Both have also added AI. Zapier offers Zapier Agents, and Make AI agents run inside its scenarios. So the line between an automation tool and an agent platform is less sharp than it was. The difference is still where each product starts.

When to use Zapier or Make, and when TobyBot

Use both when you have a mix. A rule-based tool can move data between apps while an agent handles the decisions.

Choose Zapier or Make when

  • The workflow is a fixed sequence that rarely changes, such as moving a form entry into a CRM and a spreadsheet.
  • You need a connector for a long-tail app. Zapier's library is very large.
  • Business users want to build simple automations themselves, and a low starting price matters.

Choose TobyBot when

  • The next step depends on reading context, not matching a rule.
  • The logic changes often and redrawing branches has become a chore. You change the instructions instead.
  • You want to see every tool call and result as it runs, and save what works as a reusable agent.

How Zapier and Make price

Zapier's pricing page counts tasks. The entry tier is $0 for 100 tasks a month, Professional starts from $19.99 a month and Team starts from $69 a month for 25 users. Enterprise is contact for pricing. A task is used when a step in a Zap completes successfully, triggers do not count, and the page says AI steps, code and its SDK now follow the same task-based model. Over your limit you move to pay as you go unless you turn that off.

Make's pricing page shows a Free plan with 1,000 credits a month. Its paid plans are Core at $9 a month, Pro at $16 a month and Teams at $29 a month, each for 10,000 credits a month on annual billing. Enterprise is custom. Its help centre says its billing unit is the credit, that a standard module run costs 1 credit and that AI modules use more depending on tokens. Its AI agent app is in open beta and says pricing may change.

On public price Zapier and Make are both lower to start than TobyBot, at $19.99 and $9 a month against $59 a month, and a few simple automations will often cost less there. For heavier work compare like for like. Count runs, steps and AI use on your own workload, then price each option against it. TobyBot counts actions, triggers and AI credits, so we do not rank them.

Where fixed workflows get hard

Fixed workflows get hard when the logic depends on context. A simple onboarding flow sends a welcome email when someone signs up. A realistic one checks company size, industry and location, looks up similar clients, chooses a welcome sequence and routes the account to the right manager. Each of those checks becomes another branch you draw and maintain.

As the branches grow, the diagram gets harder to read and riskier to change. A new rule can mean rebuilding and retesting the whole path. Teams often keep complex automations simple on purpose, because nobody wants to touch them.

An agent takes a goal, works out the steps, calls tools, looks at the results and decides what to do next. The plan is made for each run, not drawn once in advance. The trade-off is that you need to check what the agent did, which is why seeing every call matters.

Moving a job from Zapier or Make to TobyBot

Move the flow that keeps growing branches and leave the simple ones alone.

  1. Pick a flow where the rules keep multiplying

Write the decision it makes in plain words, including the exceptions you have added over time.

  2. Describe it and connect the tools

Paste the description as a request, connect the tools with the native connectors or an MCP server, and read the plan TobyBot writes.

  3. Keep the fixed flows where they are

A webhook trigger lets a Zap or a scenario start a TobyBot agent, so each system owns the steps it does best.

Zapier alternatives and Make: frequently asked questions

Is TobyBot or Zapier better for a team that wants to automate with AI?

If the work is a fixed sequence across many apps, Zapier or Make is probably the quicker route and may cost less. If the next step depends on reading context, or the rules keep changing, TobyBot fits. Many teams use both.

Is TobyBot a replacement for Zapier or Make?

Not always. Zapier is strong at fixed app-to-app flows across a very large app library. TobyBot fits work where the steps depend on context.

Does Zapier have AI agents, and does Make?

Yes. As of November 2026 Zapier offers Zapier Agents, and AI steps in workflows follow its task-based model. Make has an AI agent app that runs inside scenarios, in open beta.
